In most circumstances, your organisational users will be added using automatic provisioning. Please refer to the synchronisation (SCIM2) section of this guide for further information.
This functionality is for adding users that are not synchronised with your third party identity platform, such as administrators, and third party recipients.
Bulk Import can be used to import multiple users at the same time into the system. Please follow the below-mentioned steps to import the users into the system.
Log into Klaxon as Site Administrator, Navigate to Sidebar and select Users.
Page with a list of users will open up, navigate to the right side and click on Bulk Import.
A window will pop up as shown below
Click on the ‘Download User import template’ to download the CSV file where user details need to be filled in.
Open the CSV file named ‘user-import-template’ downloaded into your system.
The row highlighted in red is the header it can be left as it is.
The rows highlighted in Blue are the examples provided that can be removed.
The Columns need to be filled as mentioned below:
Column A (Email): In this column, fill in the official email ID of the users.
Column B (Roles): In this column, fill in the roles for the users. The users can be given one of the below-mentioned roles.
Site Administrator: This role can perform operational administration, including User management, Service List management, and Location Management.
Notification Manager: This role can edit, update, send and resolve major incidents/mass notifications.
Maintenance Manager: This role can add, edit, update and delete planned maintenance items.
Subscriber: This role can access the Klaxon web dashboard, Smartphone app and view/receive major incidents, mass notifications, and planned maintenance.
Column C ( Groups): Mention the group you want to add the Users to.
Column D ( User Status) : Mention the user status in the system. Enabled - to keep the user active : Disabled - To Deactivate the user in the system.
Column E (Location): In this column, fill in the location of the user. For E.g., London, Leeds, Portsmouth, etc.
Column F (Mobile Number): Fill in the mobile number of the user with the country code. E.g., +44723*****98.
Note: Excel usually changes the format of the numbers which causes problems in saving the mobile number and loading it into the system. To solve the issue, add the number to the file as shown below.
When adding the Mobile number we need to add + Infront of the number along with the country code
Tip: Add + Infront of the mobile number in excel
Select the cells that have the numbers when you want to add the + sign
Right-click and then click on Format Cells
In the Format Cells dialog box, within the Number tab, click on Custom option with the Category
In the Type field, enter the following: +0;-0;0
Click on OK, the mobile number will have + Infront of it.
Once the CSV file has been filled and saved to the local Desktop, come back to the Bulk import window opened in Klaxon.
Click on the ‘Choose File’ and navigate to where the template file has been saved and select the file.
The file will get uploaded to the system
Once the file has been uploaded, navigate to the next section and fill them as mentioned below:
Default Roles: Select a Role here from the list(This section needs to be filled in as a backup, if the system faces any issue or if the value entered in the CSV is wrong, the system will provide the role mentioned in this section to the users). This section works as a Backup.
Send Invite via email (checkbox): if checked will send an email invite to the users imported to the system.
Default Location: Select a location here from the list (This section needs to be filled in as a backup, if the system faces any issue or if the value entered in the CSV is wrong, the system will provide the location mentioned in this section to the users). This section works as a Backup.
Enable SMS Notifications (Checkbox): If checked will enable the SMS notification channel for the users imported.
Once all the details are filled in Click on ‘Save’ to import the users to the system.
